Early Birds and Tea Birds Terms and Conditions

Early Birds club prices

The charge for pre-booked sessions is as follows:
Early Birds - From 7:30am - £4.50 (including breakfast)

Tea Birds club prices

The charge for pre-booked sessions is as follows:
Session A - Until 5:00pm - Collection between 3:30pm and 5:00pm - £8 per session.
Session B - Until 6:00pm - Collection between 5:00pm and 6:00pm - £12.50 per session.

Late Charges

There is a charge applied for the late collection of a child. This is to cover additional staffing costs and is due within 24 hours:
Session A late collection - £6
Session B late collection - £15

Registration

All parents/carers must complete our registration forms in full before a child can be accepted at a club. Electronic registration forms are available on WeDuc. Any changes to the information contained on the registration forms must be notified in writing immediately by the parent/carer to the infant office email address at office@c-inf.w-berks.sch.uk

All details need to be renewed on an annual basis.

Payment for Sessions Booked/Attended and Charges
 
Bookings will be open for each full term at least 4 weeks ahead and we ask that you book as far in advance (minimum 1 week) as possible. All fees and charges must be paid via WeDuc at the time of booking. Failure to settle any outstanding fees and charges due, may result in Calcot Schools taking action (including legal action) to recover any outstanding debts. In addition, your child will no longer be able to attend the school's out of hours clubs.

Changes to booked sessions

If you need to cancel a pre-arranged booking more than 7 days in advance, these changes can be made on WeDuc.  Cancellations within 7 days, must be notified to the infant email address and the following fees are as follows:

Less than 7 days’ notice - 50% of session cost will be refunded.
Less than 48 hours’ notice - 0% of session cost will be refunded.
Monies paid for cancelled sessions will be held in credit on the child's account and can be used for future bookings.

Where sessions have been cancelled due to unforeseen circumstances or in the event of sickness where a child has been absent for 5 or more consecutive days, fees will be credited to the child's account.

Booking Adhoc sessions (Less than 7 days in advance)

All adhoc session requests must be made in writing to the out of hours email address at office@c-inf.w-berks.sch.uk. These requests are subject to availability as we must ensure that we have sufficient staff on site.

No parent/carer should consider a booking as being accepted until confirmation has been received from the out of hours co-ordinator. We are unable to accept any child who is not booked into a session. If a child attends an un-booked session, the parent /carer may be contacted to collect their child and a fine of £15 may be incurred on top of the adhoc session charge, per child.

Sickness policy

Any child who has suffered from diarrhoea, sickness, high temperature / fever or conjunctivitis must be kept away from the clubs for a period of 48 hours after their condition has ceased. 

Reservation of Rights

The Early Birds and Tea Birds clubs reserve the right to exclude a child or family from attending the club or to refuse registration. The Early Birds and Tea Birds clubs reserve the right to close the club on the grounds of staff shortage, unavailability of facilities, or any other reason which in its reasonable opinion necessitates closure. Reasonable notice will be given where possible. The Early Birds and Tea Birds clubs reserve the right to change these terms and conditions at any time and will give written notice of such changes to parents/carers.
